We are hiring! Our company is merrily looking for a candidate to fill the position of Virtual Executive Assistant to the CEO/President. For those of you who live in National Capital Reg and its surrounding areas, we need you to then join our company office, CAST PH, and able to under a part time working hours.

We offer you the salary rates ranging from ₱16,000 - ₱38,000. The provision pertaining to the average starting initial salary we offer may change if you meet or even beyond the minimum requirement we are looking for in accordance with our company HRD agreement.

Urgently hiring for an Executive Assistant to perform a variety of administrative tasks and support to a Senior Executive for a fast-paced Mortgage Brokerage company based in Canada. Executive Assistant’s responsibilities include managing email inquiries for new leads, clients, lenders, realtors, managing the executive calendar, organizing mortgage sensitive douments, coordinating meetings, travel arrangements, and preparing expense reports. To be successful in this role, you will need to be highly organized, with exceptional time management skills, fast learner, proactive and able to work well autonomously and with high professionalism and exemplary client communications and handling and is tech savvy.

Hourly rate : $5 – $6/hr based on experience. Higher pay available depending on qualifications. Part-time role, minimum of 10hrs/week to 20hrs/week, WFH

The Executive Assistant will have the following primary responsibilities to support the CEO in all mortgage applications processing:

  • Help and assist clients of the compnay with their mortgage application needs via email or chat within the agreed turn around time
  • Answer and respond to email inquiries within the agreed turn-around time.
  • Handle and gather confidential information from various stakeholders.
  • Handle and gather digital mortgage loan documents and forms.
  • Do data entry to the mortgage software systems
  • Prepare an end of day status report for all outstanding, open mortgage applications and other issues.
  • Create appropriate tasks for the CEO that requires his personal response.
  • Organize all electronic and digital documents following a standard naming system or folder system
  • Introduce and suggest process improvements to ensure timely processing of deals in the pipeline
  • Providing administrative assistance, such as writing, formatting, and editing e-mails, presentations, memos, data reports, and preparing communications on the Executive’s behalf
  • Collaborating effectively with stakeholders and external parties on behalf of the Executive
  • Professionally represent the Executive in all communications
  • Assist the Executive in creating resources and systems to improve workflow
  • Organizing meetings, including scheduling, sending reminders, rescheduling, and more
  • Managing the Executive’s calendar, email, and tasks, including making appointments and prioritizing the most sensitive matters
  • Organizing and booking travel arrangements and flights
  • Coordination to completion of Executive’s personal and professional tasks
  • Adhoc virtual tasks, provide general administrative support.

Requirements and skills:

  • Good experience as an Executive Assistant, Personal Assistant or similar support roles to Senior Leaders and/or CEOs
  • High level of proficiency with professional and productivity tools like MS O365, Google G-Suite, teleconferencing tools and other office productivity apps and tech
  • Outstanding organizational and time management skills
  • Excellent verbal and written communications skills in English
  • Integrity, and discretion to handle sensitive and confidential information
  • Willing to work in evening shifts, Client is based in Canada
  • Will directly report to CEO/Chairman/Managing Director
  • Able to interact with senior-level executives and all levels of the organization
  • Self-direction, takes initiative & proactive with excellent project management skills
  • Laser-focused when it comes to attention to detail and accuracy. Exhibit flexibility, prioritization & the ability to multi-task
  • Ability to work effectively with minimal supervision
  • Ability to plan, organize and prioritize conflicting work or demands to successful completion with detail and deadline orientation
  • Initiative and self-motivation include the ability to work effectively and proactively with limited supervision both independently and as part of a team
